Configuring Extended Exceptions (FMLA)

Review the topic About Extended Exceptions (FMLA) to obtain some background prior to starting this task. This topic shows you how to use the Assignment Override Work Code feature which is used to place a person on a work code exception for a prolonged or unknown period of time.

This task contains multiple paths; read this task from start to end before you apply the steps.

IMPORTANT: Do not use this feature to place a person on an extended vacation; for example, a vacation spanning three weeks. Use this feature when the person’s return to their ‘regular duty’ status is uncertain; for example, military leave, maternity leave, FMLA, light-duty. Please read: Configuring Organizations for Extended Exceptions (FMLA...) before you begin this task.

To place a person on an indefinite exception using their Assignment tab:

  1. Open the person’s Assignment tab.
  2. Add a new Assignment. In From enter the effective date of the new exception code (ex:1/11/2014). Then end the old assignment by placing the previous day in the Through field (ex:1/10/2014), ensuring no gaps in time exist.
  3. In the new Assignment panel do the following depending on personnel type:
    • If the person does not affect minimum staffing levels do the following:Select the same shift and location of work. In On-Duty, select the work code that will replace this person’s ‘regular duty’ work code on the Roster.
    • If the person affects minimum staffing do the following: Select the unit configured to place people on extended time off and select the appropriate Shift. The shift selected typically coincides with payroll’s expected values, such as a Monday - Friday, 40 hr shift. In On-Duty, select the work code that will replace this person’s ‘regular duty’ work code on the Roster. Recommended best practice with minimal impact to rules.
    • If the person affects minimum staffing do the following:Select the same shift and location of work. In On-Duty, select the work code that will replace this person’s ‘regular duty’ work code on the Roster. This option will burden Fill By Rules.
  4. Click Save.

The person will show on the Roster with the non-working code automatically applied during scheduled hours of work. This is a projected (virtual) record and will need to be fixed or finalized to display on the Payroll Report. When the person returns to work, create a new assignment and end the indefinite leave assignment.
