Override Assignment Work Codes (Extended Leave)

The Override Assignment Work Code area in the person’s Assignment tab is used to automatically replace a person’s regular duty work code on the Roster with a different work code for an extended and uncertain period of time. This feature is used when a person is on leave and their workday status on the Roster could be uncertain due to external factors, such as military leave, maternity leave, light duty, FMLA, disability, and so on.

Note: The Override Assignment Work Code area does not log hours or dates to a Logging Bucket when those records are either Fixed or Finalized.

To manage long-term exceptions using the Override Assignment Work Code feature you must first determine whether the employee affects minimum staffing levels, and whether their position requires backfilling.

When minimum staffing levels are not impacted...

  1. Create a new Assignment.
  2. Apply the same assignment details, such as the shift and area of work.
  3. Select the new On Duty work code from the menu on the Override Assignment Work Code section.
  4. Optional - apply a Detail Code.
  5. Click Save.

When minimum staffing levels are impacted...

Configuring an area for personnel in the Organizational structure is recommended as it isolates and facilitates the management of these records. The configuration involves creating a Unit in the Organizational structure for personnel on extended leave. This ’extended leave’ area is then applied to the person along with their shift and On Duty work code.
