Auto Fix Vacancies Example

This task requires System Access to the Task Manager in Setup > System

Use the Auto Fix Vacancies task type to lock vacancies on the Roster and optionally enable vacancy flags. This task is used to post vacancy flags for special event working opportunities on the Personal Calendar and Dashboard.

Important: This task locks vacancies in place and will not suppress remaining vacancies when the minimum staffing count is met. It is very important that this task does not fix vacancies that contribute towards a minimum staffing requirement to avoid over staffing.

  1. Go to: System > Task Manager
  2. Click Add
  3. In Name, label your job. Use the description area to enter additional information if needed.
  4. Leave remaining and default settings as is.
  5. Click the Task ab to create a task.
  6. In Name, label your task.
  7. In Task Type, select Auto Fix Vacancies.
  8. In From Date and Through Date use Dynamic Dates to target a date range. Some examples below:
    • To target the 2nd day in the future, in From type: TODAY+2DAYS and in Through type: TODAY+2DAYS

    • To target the next two days, in From type: TODAY+1DAYand in Through type: TODAY+2DAYS

    • To target the previous three days, in From type: TODAY-3DAYS and in Through type: TODAY-1DAY

    • To target tomorrow’s date, in From type: TODAY+1DAY and in Through type: TODAY+1DAY

  9. In Shift(s), select one or more shifts to return vacancies on the selected shift(s). Clear all of the check boxes to return vacancies for all of the Shift(s) listed.
  10. In Region(s), select one or more regions to return vacancies in the selected region(s). Clear all of the check boxes to return vacancies for all of the Region(s) listed.
  11. In Vacancy Flags, select none, one, or more of the following options:
    • Calendar - features a Vacancy Flag for potential candidates on the Calendar and the Dashboard. A red ‘c’ displays next to the vacancy on the Roster to denote the vacancy flag enabled.

    • Sign-up - enables users to indicate a preference to work the selected vacancy using the sign-up code’s Where feature. A red at symbol ‘@’ displays next to the vacancy to denote Sign-up enabled.

    • Self-Fill - enables qualifying candidates to create an assignment for themselves to work the selected vacancy on a first come first serve basis. A red dollar sign ‘$’ displays next to the vacancy to denote Self-Fill enabled.

    • None - Clear all of the check boxes to set no vacancy flags.

  12. Click Save.
