Auto-Assign Task Type Example

This task requires System Access to the Task Manager in Setup > System.

Use the Auto-Assign Task Type job to automatically ‘commit’ personnel and fill the vacancy. This task commits personnel, see Auto-Hire task type to ‘offer’ a working opportunity. Blueprint jobs are not supported.

Note:

The auto-assign task runs Fill By Rules to staff each vacancy independently, and it is possible for the auto-assign task to return a completed job without staffing a vacancy, this occurs when the Fill By Rules list returns zero candidates or the List associated with the Auto-Assign task does not have both Allow Outbound and Automatically Assign selected in the List > Outbound tab.

  1. Go to: System > Task Manager
  2. Click Add
  3. In Name, label your job. Use the description area to enter additional information if needed.
  4. Leave remaining and default settings as is.
  5. Click the Task tab to create a task.
  6. In Name, label your task.
  7. In Task Type, select Auto-Assign.
  8. In Shift(s), select one or more shifts to staff vacancies on the selected shift(s). Clear all of the check boxes to staff vacancies for all of the Shift(s) listed.

    To build the Roster and set the appropriate vacancies for auto-assign, you must select all shifts associated with the Roster Count Alarm. Additionally, when shift merging is present - all shifts associated with a shift merge including the shift that binds a group of shifts must be selected as part of the task parameters.

  9. In Region(s), select one or more regions to fill vacancies in the selected region(s). Clear all of the check boxes to staff vacancies for all of the Region(s) listed.
  10. In Rebuild after each vacancy is filled, select this check box to fill up to the minimum number. For example, Unit 1 displays two vacant positions but only one position is required to meet the minimum staffing level, selecting this check box rebuilds the Roster after each vacancy is filled to determine whether or not the subsequent vacancy requires staffing.T he logic restarts at the beginning of the day again; it evaluates from the top vacancy down to determine if anything changed. For example, suppose you have 100 vacancies and fill vacancy #75; the application starts back at vacancy #1; it does not look at vacancy #76 to see if it is still needed. Overstaffing is possible if this check box is unchecked.
  11. In From and Through use Dynamic Dates to target a future date range (case sensitive). Some examples below:
    • To target the 7th day in the future starting from today and staff only that day, in From type: TODAY+7DAYS and in Through type: TODAY+7DAYS

    • To target tomorrow and the next day, in From type: TODAY+1DAYand in Through type: TODAY+2DAYS

  12. In List Chain, select either <none> to use the default List Chain for the target date and time, or select a specific List Chain to override the default List Chain.
  13. In List Category, select Auto-Assign.
  14. In Call Outcome, select Accepted to commit the candidate.
  15. In Split Vacancy, select the check box if a vacancy with a split duration may be staffed by different candidates.
  16. Click Save.
