Auto Approve Task Type Example

This task requires System Access to the Task Manager in Setup > System.

Use the Auto Approve task type to approve a total number of specific work code requests within the parameters defined. This task approves [x] number of requests per day and does not run Dynamic Issue rules prior to approving the request.

For example, if only 3 vacation work codes can be approved per day and the target date has 2 out of 5 vacation work code requests already approved, the task will only approve one more vacation request for a total of 3. Moreover, running the same task on the target date after reaching the task’s approval limit will return zero approvals. If the desired outcome is to allow for three more work code approvals, create another task and add three more to the previous task’s number for a total of six.

  1. Go to: System > Task Manager
  2. Click Add
  3. In Name, label your job. Use the description area to enter additional information if needed.
  4. Leave remaining and default settings as is.
  5. Click the Task tab to create a task.
  6. In Name, label your task.
  7. In Task Type, select Auto Approve.
  8. In Maximum number to approve per day, type the resulting number of approvals per date; this is not the number to be performed by the task. This is the total number across all of the work codes in consideration and work codes already approved on the Roster for the target date. Valid Format:
    • Positive whole numbers. Example: 3 would approve until 3 exist.

    • Percent. Positive decimal must be <1. Rounds down (No more than). Example: .62 would approve until 62% of the Consider these work codes exist. If 10 work code records exist, the resulting approval maximum is six records.

  9. In From Date and Through Date use Dynamic Dates to target a date range. Some examples below:
    • To target the next two days, in From type: TODAY+1DAYand in Through type: TODAY+2DAYS

    • To target the 7th day in the future and an additional 7 days, in From type: TODAY+7DAYS and in Through type: TODAY+13DAYS
  10. In Approval mode, select how to process and sort the records. Choices are:
    • By Request Date

    • By Promotion Date

      By Hire Date

    • By seniority Number

  11. In Consider these Work Codes, select one or more work codes from the list. The task returns all of the selected work codes which includes approved and request statuses. Clear all of the check boxes to return all of the work codes listed.

    The selected work codes contribute to the maximum number to approve per day limit. A subsequent field in the task determines which codes will be automatically approved.

  12. In Consider these ... fields, select one or more from the list. The items selected will contribute to the total. Subsequent fields determine which records this task will approve.
  13. In Only approve these work codes, select only the work codes the system can automatically approve.Clear all of the check boxes to approve any work code selected in the Consider these Work Codes list.
  14. In the remaining Only approve these...fields, select the areas, ranks, specialties, shifts... this task can automatically approve. Clear all of the check boxes to approve any of the records within the Consider these... fields.
  15. Click Save.
