Auto-Hire Blueprint Jobs Task Type Example

This task requires System Access to the Task Manager in Setup > System, and a Blueprint license.

Use the Auto-Hire Blueprint Jobs task to ‘offer’ a blueprint job. Jobs queued at the same time are sorted by start time, followed by job name in alphabetical order. If Institution Focus is turned on, the time of the job offer will be the institution timezone of the blueprint. If Institution Focus is turned off, the time of the job offer will be the timezone of the Server, or as set in Default Timezone in System > System Information.

Auto-Hire runs Fill By Rules to allocate each job independently. As such, Auto-Hire for Blueprint Jobs will only run for vacant jobs and will not bump any assigned job to any other person because Auto-Hire runs Fill By Rules not the Job Allocation process. To clarify, when the Job Allocation process is run it locks jobs that are being processed, because Auto-Hire for blueprint jobs does not consider locked jobs Fill By Rules for auto-hiring blueprint jobs. Moreover, it is possible for the auto-hire task to return a completed job without allocating a person, this occurs when the Fill By Rules list returns zero candidates (essentially, exhausted), or the List associated with the Auto-Hire task does not have Allow Outbound in the List Outbound tab.

  1. Go to: System > Task Manager
  2. Click Add
  3. In Name, label the job run. Use the description area to enter additional information if needed.
  4. Leave remaining and default settings as is.
  5. Click the Task tab to create a task.
  6. In Name, label your task.
  7. In Task Type, select Auto-Hire Blueprint Jobs.
  8. In From and Through use Dynamic Dates to target a future date range (case sensitive). Some examples below:
    • To target the 7th day in the future starting from today and staff only that day, in From type: TODAY+7DAYS and in Through type: TODAY+7DAYS

    • To target tomorrow and the next day, in From type: TODAY+1DAYand in Through type: TODAY+2DAYS

  9. In Shift(s), select one or more shifts to offer jobs on the selected shift(s). Clear all of the check boxes to staff jobs for all of the shift(s) listed.
  10. In Departments, select one or more departments to offer jobs in the selected department(s). Clear all of the check boxes to offer jobs in all of the department(s) listed.
  11. In Area, select one or more areas to offer jobs in the selected areas(s). Clear all of the check boxes to offer jobs in all of the area(s) listed.
  12. In Attempt for the next [x] minutes (0=60 minutes), type the number of minutes desired. After firing this task only attempt for [x] minutes.
  13. In List Chain, if None is selected, auto-hire for blueprint jobs will use the List Plan of the Blueprint Job, or select a specific List Chain to override the default List Plan of the Blueprint. For reference a List Chain is a set of rules inside a List Plan, and each Blueprints has a List Plan.
  14. In Limit the Contact Method, select a contact method to override the default contact method defined in the active List, or choose <none> to use the contact method provided by the active List.
  15. In Limit to Institution, select one or more institutions to offer jobs in the selected institution(s). Clear all of the check boxes to offer jobs in all of the institution(s). listed.
  16. Click Save.
