Staffing: Edit Jobs

The Edit Jobs task topic covers several edit scenario tasks presented in one Topic to facilitate the flow of information.

Edit Job Global Controls

Edit job functionality is available on the Staffing board as of application version 7.3. Nudge capability remains on the Planning board. For reference Nudge changes the time of the entire blueprint where as edit job, allows you to change the time of the job within a blueprint or blueprints. Shared Jobs are not supported.

Important: Changes to any predefined data on the template upon deployment of the blueprint will apply to this instance of the blueprint only. If the change in data should apply to future templates then you must apply the new data changes to the actual blueprint template in Setup, doing so will apply the new data to subsequent blueprints. Additionally, the maximum the number of job edits per submit transaction is twenty.

Functions inside the pencil icon target the corresponding Blueprint only. This means if you select jobs in Blueprint 1 and Blueprint 2, click the pencil icon for Blueprint 1 and select Edit Jobs then only the selected jobs on Blueprint 1 will be modified.

When editing multiple jobs at one time, jobs display in chronological order by Job Type (Before, During, After), followed byJob Start Time, and then by the alphabetical order of Job Nameswhich includes Job Overriding Names. Global controls for Edit Jobs includes:
  • Edit in Jobs Menu- use Editin the Jobsmenu when selecting multiple jobs across multiple blueprints. Also applicable for a single blueprint.
  • Edit in Pencil Icon - use Edit Jobs inside the pencil icon when editing jobs for a single blueprint.
  • Extend Job as Vacant - displays when extending the job times. Used to extend the job record only and not the person’s allocation time
  • Extend person’s allocation - displays when extending the job times. Used to extend both the job record and the person’s allocation time. If there are no conflicts this option enables. If an allocation conflict exists then this option disables.
  • Work Code* - a work code must be applied when extending the times of an allocated job beyond the person’s working time. The Work Code menu displays Working and Regular Duty type codes when there are no allocation conflicts for the job edit. The menu excludes Trade types, Non-Working, and Sign-up type work codes.
  • Undo- click to revert the Time or Offset back to the initial state of the job for this instance. Allows users to revert their changes to job times for specific jobs rather than clicking Cancel and losing all of the job edits in view.
  • Cancel- click to close the dialog and cancel any input.
  • Time- used to edit the job. Default option. Format MM/DD/YYYY HH:MM
  • Offsets- used to edit the job using an offset of time; for example to extend the job one hour, type60. To reduce the job by one hour type -60.
  • Blue highlighted text displays your change.
  • Status Frame Color Indicators: Gray frame indicates no warnings or issues for the job edit. Yellowframe indicates warnings for the job edit.Redframe indicates an error for the job edit.

Edit Unallocated Job

To edit an unallocated job on the Staffing board:

  1. Go to the Staffing board.
  2. Choose the desired edit function...
    1. Select one or more unallocated jobs on a single blueprint and click the icon that looks like a pencil to open your menu options. Click Edit Jobs.
    2. Select one or more unallocated people on a single blueprint or multiple blueprints. Click the Jobs menu and select Edit.
  3. Edit Job Times opens. Use Time or Offsets to edit the Job times. Review the new job times highlighted in blue.
  4. Click Save.

Shorten Allocated Job

Important: Shortening an allocated job will create unallocated time for the person.

To shorten an allocated job:

  1. Go to the Staffing board.
  2. Choose the desired edit function...
    1. Select one or more allocated jobs on a single blueprint and click the icon that looks like a pencil to open your menu options. Click Edit Jobs.
    2. Select one or more allocated people on a single blueprint or multiple blueprints and click the Jobs menu and select Edit.
  3. Edit Job Times opens. Use Time or Offsets to shorten the Job times. Review the new job times highlighted in blue.
  4. Click Save.

Extend Job Times Within Person’s Working Time

To extend the job times within the person’s working time:

  1. Go to the Staffing board.
  2. Choose the desired edit function...
    1. Select one or more allocated jobs on a single blueprint and click the icon that looks like a pencil to open your menu options. Click Edit Jobs.
    2. Select one or more allocated people on a single blueprint or multiple blueprints and click the Jobs menu and select Edit.
  3. Edit Job Times opens. Use Time or Offsets to extend the Job times. Review the new job times highlighted in blue.
  4. Select Extend person’s allocation.
  5. Click Save.

Extend Job Times Beyond Person’s Working Time

To extend the job times beyond the person’s working time:

  1. Go to the Staffing board.
  2. Choose the desired edit function...
    1. Select one or more allocated jobs on a single blueprint and click the icon that looks like a pencil to open your menu options. Click Edit Jobs.
    2. Select one or more allocated people on a single blueprint or multiple blueprints and click the Jobs menu and select Edit.
  3. Edit Job Times opens. Use Time or Offsets to extend the Job times. Review the new job times highlighted in blue.
  4. Select Extend person’s allocation.
  5. Work Code * menu appears when extending the person’s allocation beyond their working time and when no allocation conflicts exist. Choose a work code to cover the extended period.

    If an allocation conflict exists then Extend Job as Vacant is the only option. Extend person’s allocation disables when allocation conflicts exist.

  6. Click Save.
