Access Reports

Reports default to self when accessed from theDashboard and the Personal Calendar. Depending on user rights, reports are also available in the Reports area, or from the Roster using person menu options.

Multi-select menu controls were enhanced to facilitate the selection of multiple items by instance.1 Select All functionality depends on the application version. For example, the ability to load items by scrolling, and electing some items is available as of version 7.1.4+.

Additionally, the Limit By menu displays thirty items at a time per search, or scroll depending on the application version. This means if the total number of actual items in the query is forty, the first query returns thirty items, the next search/ scroll returns ten more items for a total of forty items in view.

To access Reports, go to the Main Navigation area and click Reports.

  1. Click a report.
  2. Click Calendar Dates.
  3. Use the Limit By section to limit the information on your report.
  4. To return matching text items, type the name in Limit by. Type the percentage sign % to return all items.

    Suppose the word nurse is typed in the Limit by - Shift search box, doing so returns every string that contains the word nurse.

  5. Click Excel Report to run the report in Excel (.xlsx).

You may see the Enable Editing button upon running the report when running Excel 2010. The records cannot be altered on any of the canned reports unless the password protection is turned off in the Setup area of the application. The Excel sheet is protected with a randomly generated password created when the report runs to preserve the integrity of each record.2

Examples of Select Behavior in Limit-By

QUERY EXAMPLE: Suppose you are searching for items that contain the word, nurse. Search results return a total of forty items.3 Depending on the version you are using, the select controls work as follows...

6.7.3.1, 6.8.4, and 7.1.1+: Select All To select thirty out of forty items, press CTRL + A. Type the word nurse again in Search to return the remaining items. Press CTRL + A again to add the remaining ten items for a total of forty items selected.
7.1.4+: Select All To select thirty out of forty items, press CTRL + A. Click the scroll bar to load additional items. Press CTRL + A again to add the remaining ten items for a total of forty items selected. Scrolling displays Loading more results...when additional items exist in the search query, otherwise the query is complete. Press Enter to confirm your selection and close the menu. Press the Esc key or click outside the drop-down to cancel multi-select.
7.1.4+ Select Some To choose specific items in the query press CTRL + Click, scroll to return additional items. Press CTRL + Click again to choose that item, and so on. Press Enter to confirm your selection and close the menu.

  • CTRL + A is not an absolute select all function, users must scroll to the bottom and load all items. Repeat until all items are loaded, then press CTRL + A to select all items.
  • Mac OS X users use the Command key in lieu of the CTRL key for this feature.
  • Keyboard accessibility users use the Up or Down arrow key to scroll within the menu. Press Enter to close the menu.
  • Keyboard accessibility users use CTRL + Space key to select an item on the menu. Press CTRL + Space again to choose another item, and so on. Use the arrow keys to scroll and return additional items if desired. Press Enter to close the menu.
